Preface
By joining Soulspire Voices Collective, you agree to the following Terms & Conditions. Please read them carefully before becoming a member.
1. Who We Are
Soulspire Voices Collective (“Soulspire”, “S.V.C.”, “we”, or “our”) is a community choir based in Bristol, United Kingdom, founded and directed by Sabrina Parente.
S.V.C. provides group singing sessions, workshops, and community performances focused on soul, pop, and jazz music, with an emphasis on inclusivity, creativity, and wellbeing.
Soulspire Voices Collective is operated by Sabrina Parente as a sole trader based in Bristol, United Kingdom.

2. Health Declaration
Members are assumed to be medically fit to participate in the choir’s activities.
Anything that may affect participation should be discussed with the Musical Director before joining.

3. Membership & Sessions
3.1 S.V.C. operates on a rolling membership subscription, paid monthly via Stripe. Stripe processes recurring payments automatically on the same date each month, using the member’s stored card details.
3.2 The membership fee covers a minimum of 30 rehearsal sessions per year, delivered during school-term periods.
3.3 Rehearsals take place on Tuesdays, 7:00–8:45 pm at St Michael’s Parish Hall, Bristol. Sessions last 1.5 hours, including a short break.
3.4 A light refreshment will be provided; members are welcome to bring their own.
3.5 Members are charged for all sessions within their membership period, whether attended or not.
3.6 If a scheduled session must be cancelled (e.g. due to illness or severe weather), the session will be rescheduled where possible, or a refund provided for that session.
3.7 Members are entitled to attend all sessions covered by their current membership.
3.8 If S.V.C. discontinues rehearsals or closes, members will receive a refund for any sessions not delivered.
3.9 Members are eligible to take part in choir performances and community events when such opportunities arise. Participation is entirely optional. Invitations will be shared via email, and members can sign up using provided forms.
3.10 When rehearsing for a performance, members should aim to attend the sessions leading up to the event and practise using provided audio materials to ensure readiness.

4. Payments, Cancellations & Refunds
4.1 Taster Session
A £7 one-off taster session fee applies. This fee is non-deductible and non-refundable, as it covers your place for the session.
4.2 Cooling-Off Period
Members have the right to cancel their membership within 14 days of payment and receive a full refund.To cancel, please notify us in writing by email at hello@soulspirevoicescollective.co.uk within the 14-day period. After this period, our standard one-month notice policy applies.
4.3 Membership Cancellation
After the 14-day cooling-off period, members may cancel their membership at any time by providing one month’s written notice via email to hello@soulspirevoices.co.uk.
Membership payments will continue for one month after notice is given, and rehearsals during that period remain available to attend.
4.4 Refunds
Membership and Taster session fees are non-refundable except in the event of cancellation by S.V.C. or at the Musical Director’s discretion in exceptional circumstances.
4.5 Membership Fee Reviews
Membership fees are reviewed annually and may be adjusted to reflect changes in venue costs, resources, or operational expenses.
Members will be notified in writing of any changes at least 30 days in advance of the new rate taking effect.

5. Lyrics, Materials & Rehearsals
5.1 Lyrics are displayed digitally during rehearsals using a projector to reduce paper use.
5.2 Members receive access to an online Google Drive folder containing lyrics and rehearsal resources.
5.3 If you have a visual or health condition that makes it difficult to view projected lyrics, you may print your own copies for personal use during sessions.
5.4 All materials (lyrics, recordings, arrangements) are for members’ personal use only and may not be shared, copied, or distributed outside S.V.C. without permission.
5.5 All music, arrangements, and materials remain the intellectual property of S.V.C. or the relevant rights holders. Membership does not grant any ownership or distribution rights.

6. Code of Conduct
6.1 Members should communicate absence directly to the Musical Director (via email, text, or message). Absences should not be posted publicly in WhatsApp or social media groups.
6.2 Members are expected to be punctual to sessions to participate in vocal warm-ups, which support vocal health.
6.3 Members must treat all others with kindness, respect, and patience at all times.
6.4 Any form of negative, offensive, discriminatory, or aggressive behaviour (verbal, written, or physical) will not be tolerated.
6.5 S.V.C. is an inclusive, equal-opportunity environment where diversity is valued and supported.
6.6 Members are expected to support the Musical Director’s leadership and contribute positively to rehearsals.
6.7 Repeated misconduct or behaviour that disrupts rehearsals may result in membership termination without refund.
7. Health & Safety
7.1 Members are responsible for their own property and wellbeing at all times.
7.2 Members are reminded of the Health Declaration in Section 2.
7.3 S.V.C. and the venue are not liable for any loss, damage, or theft of personal belongings during rehearsals or performances.
7.4 S.V.C. operates with appropriate Public Liability Insurance.

8. Our Rights
8.1 S.V.C. may terminate membership with immediate effect if fees are unpaid or if the Code of Conduct is breached.
8.2 S.V.C. reserves the right to make reasonable changes to rehearsal dates or venue where required.
8.3 S.V.C. will notify members by email of any significant updates to these Terms.

9. Your Obligations
9.1 You agree to pay fees on or before the due date each month.
9.2 You confirm that you are at least 18 years old.
9.3 You agree to keep your contact details up to date by notifying hello@soulspirevoicescollective.co.uk of any changes.
9.4 You agree not to share choir materials or digital downloads outside of S.V.C.
9.5 You consent to incidental inclusion in group photographs or recordings taken during rehearsals or performances.
9.6 You understand that S.V.C. cannot be held financially responsible for damage or loss caused by misconduct.

10. Media & Communications
10.1 Members will be added to S.V.C.’s mailing list to receive information about rehearsals, choir activities, performances, and social events.
10.2 Members may also be invited to join S.V.C. WhatsApp groups and/or social media communities (Facebook, Instagram) for updates and events.
10.3 These groups are intended for choir-related communication and community connection.
10.4 Members must use respectful language in all communications and comply with relevant communication laws.
10.5 Attendance or absence should always be communicated directly to the Musical Director and not posted publicly in group chats.
10.6 Members may opt out of group communications or social channels at any time. However, it is the member’s responsibility to remain informed about announcements, events, and choir activities. S.V.C. cannot be held responsible for any missed information if a member chooses to opt out of these communications.
10.7 With your consent, S.V.C. may communicate choir-related information by email, WhatsApp, or other social channels.
10.8 By joining, you consent to receive essential service communications related to your membership. You may withdraw consent for non-essential updates at any time.

11. Privacy
S.V.C. collects and processes personal data in accordance with applicable UK data protection law. For full details, please refer to our Privacy Notice.
11A. Limitation of Liability
To the fullest extent permitted by law, S.V.C. shall not be liable for any indirect, incidental, or consequential loss or damage arising from participation in choir activities. Nothing in these Terms limits liability for death or personal injury caused by negligence.

12. General Clauses
12.1 This Agreement is governed by the laws of England and Wales.
12.2 S.V.C. reserves the right to amend these Terms & Conditions at any time.
12.3 The latest version will always be available on our website.
12.4 You are encouraged to print or save a copy of this Agreement for your records.
12A. Force Majeure
S.V.C. shall not be held liable for any failure or delay in delivering sessions due to events beyond its reasonable control, including but not limited to natural disasters, pandemics, or venue unavailability.
13. Confirmation of Agreement
By completing the online sign-up and/or payment process, you acknowledge that you have read, understood, and agree to these Terms & Conditions and Privacy Notice.
